Cherry Assistant
For law firm owners & managing partners

Get your firm's admin off your attorneys' desks with a trained virtual assistant who owns it

Still answering intake emails at 9pm? Let's fix that.

Book a Call

One scoping call · then we run the search

You scope the role once. We find the person.

Each call is tactical: we map where admin is landing on you and your attorneys, then build the role around how your firm actually runs.

01

The Problem

The Admin Still Lands On The People Who Bill

Four symptoms, one cause. Nobody at the firm owns the admin, so it drifts to whoever is closest, and that is usually you or an attorney.

Symptom 01

New Inquiries Sit Until Someone Gets To Them

A potential client fills out the form or leaves a voicemail on Tuesday. Nobody owns the reply, so it waits until an attorney has a gap, and by then they may have called another firm.

Symptom 02

The Calendar Runs You

Consults, rescheduled hearings, client calls, internal meetings. Every booking is five emails of back and forth, and one missed change cascades through the rest of the week.

Symptom 03

The Inbox Pulls You Off Billable Work

Status questions, vendor emails, document requests. The inbox keeps pulling you into work that does not need a law degree, so the matters that do get pushed into the evening.

Symptom 04

Documents Live Everywhere

Some in email, some on a desktop, some in the shared drive under a name only one person understands. Finding the latest version is a task in itself.

What actually stalls it

Handing client intake and your calendar to somebody you've never met is where it stalls.

None of this is a discipline problem. It is a hiring problem, and hiring is the one job nobody at the firm has a spare week for.

02

What You've Tried

You Have Already Tried To Patch This Yourself

None of these were bad instincts. Each one moved the admin somewhere else for a while, then handed it back to you.

Approach 01

Asking Your Paralegal To Absorb It

It works until their own caseload fills up. Then the admin and the paralegal work both slip, and you are back to covering the gaps.

Approach 02

Posting The Role Yourself

You wrote the listing, and then the applications arrived by the hundred. Reading them was the part nobody had a free week for.

Approach 03

Catching Up At Night

Inbox at 9pm, scheduling on Sunday. It keeps things from falling over, but it is the most expensive admin hour the firm has.

Approach 04

Dropping Someone Into A Template Role

A generic task list does not survive contact with a real firm. The role has to be built around how your firm runs, not a template.

03

What Your Assistant Handles

The Work That Comes Off Your Desk

A general virtual assistant owns the administrative side of the firm. The exact list gets built around your firm on the scoping call. These are the areas we usually start from.

Intake

Intake Coordination

New inquiries get an owner. Your assistant logs them, gathers the basics you ask for, and routes them to the right attorney.

  • Log inquiries from web, email and voicemail
  • Send your intake questionnaire
  • Flag anything that needs an attorney
Scheduling

Scheduling Consultations

Consults booked, confirmed and moved without you writing the emails. Your calendar stays the source of truth.

  • Book and confirm consultations
  • Handle reschedules and reminders
  • Keep internal meetings off billable blocks
Inbox

Inbox Triage

Your assistant sorts the inbox so you only open what needs you, with routine replies drafted using the wording you approve.

  • Sort by matter and urgency
  • Draft routine replies for review
  • Clear vendor and admin email
Documents

Document Organization

Files named, filed and findable, in the folders and systems your firm already uses.

  • File incoming documents by matter
  • Keep naming conventions consistent
  • Chase clients for missing documents
Follow-up

Client Follow-Up

The follow-ups that currently wait until the end of your day go out on time, using wording you sign off on.

  • Appointment and document reminders
  • Non-legal status check-ins
  • Follow up on unsigned paperwork
Recurring

Recurring Admin

The weekly list that never quite gets done: data entry, reports you pull by hand, and keeping records up to date.

  • Data entry and record updates
  • Weekly reports and checklists
  • Ordering, renewals, vendor admin

Administrative only

Your assistant handles administrative work. They do not provide legal advice, and anything that needs legal judgment goes to an attorney at your firm. You decide what they can see and send.

How Placement Works

One Call, One Search, One Person Who Owns The Admin

You scope the role once. We run the search, screen against that specific role, and put a short list in front of you that you can watch on video before you decide.

Step 1

Scope

One call. We go through what your days look like and which work keeps landing on attorneys. The role gets built around your firm, not a template.

Step 2

Search & Screen

We run the search. Every candidate is screened for that specific role. You don't post the job, and you don't read applications.

Step 3

Video Shortlist

You watch the short list introduce themselves on video and hear how they communicate before you commit to anyone.

Step 4

Placement & Hand‑Off

You choose your person and hand over the work you scoped. If they're not the right fit, we swap them at no extra cost.

Candidates are screened against your firm's specific role, not a generic template.

You watch the final candidates on video, hear how they communicate, and pick your person.

Placement & hand-off

Your assistant starts on the work you scoped. Not the right fit? We swap them at no extra cost.

Who screens them

Before Cherry Assistant, we ran our own businesses: home cleaning, e-commerce, marketing and software. We screen for the person who notices what needs doing and handles it, because that is who we needed in our own companies.

One call from you. We run the search, and you only meet the people worth meeting.

Is This A Fit?

Who This Is Built For, And Who It Isn't

Run through this before you book. If most of the left column sounds like your firm, the call will be worth your time.

Good fit

This is probably for you if…

  • You own or manage the firm and make the hiring decision.
  • Attorneys, or you, are still doing intake, scheduling or inbox work.
  • The admin is repeatable enough that you could walk someone through it.
  • You want one person who owns the admin, not a pool of freelancers.
  • You're open to giving a remote assistant access to the systems the role needs.

Not a fit

This isn't for you if…

  • You need someone to give legal advice or do attorney or paralegal work.
  • The role has to be filled by someone in your office.
  • You want a one-off project rather than an ongoing role.
  • Nobody at the firm can spend an hour scoping the role.

Not sure? Book the call anyway. We'll tell you straight if it isn't a fit.

Questions

The Questions Firm Owners Ask Before They Book

Will the assistant give legal advice or do legal work?

No. This is an administrative role. Your assistant coordinates intake, schedules, triages the inbox, organizes documents and handles follow-up. They do not give legal advice, and anything that needs legal judgment goes to an attorney at your firm.

How is confidentiality and access to our systems handled?

We cover your systems and access on the call: which tools the role needs, what the assistant should and shouldn't see, and how your firm wants access set up. You stay in control of what is shared.

How much of my own time does the search take?

One call. You scope the role with us and we run the search from there. You don't post the role, and you don't read the applications.

How are candidates screened?

Against the specific role you described, not against whoever happens to be available. The role is built around your firm, so the screening is too.

Do I get to see them before I commit?

Yes. You watch the short list introduce themselves on video and hear how they communicate before you decide.

What if the person isn't the right fit?

If they're not the right fit, we swap them at no extra cost.

Will they work in our practice management software?

We go through the tools you use on the call, including practice management, email, calendar and document storage, and scope the role around them.

Who is doing the screening, and why should I trust their judgement?

Before this we ran our own businesses: home cleaning, e-commerce, marketing and software. We've hired for these roles ourselves, and we know the difference between someone who waits to be told and someone who handles it.

What actually happens on the call?

We go through what your days look like now and which parts keep landing on you and your attorneys. Then we work out whether we're the right fit. If we're not, we'll tell you straight.
